Meeting Facilitation Services

Meeting Facilitation Services

// Meetings that lead to clarity, decisions and progress

Most meetings could be half as long and twice as useful. Through professional meeting facilitation, I help teams communicate clearly, make confident decisions and leave knowing what’s next.

As a certified meeting facilitator, I bring structure, neutrality and calm energy so you can focus on the work that matters.

You might need a facilitated meeting when you want to:

  • Keep complex discussions focused and productive
  • Make confident group decisions without going in circles

  • Bring together senior stakeholders with competing priorities

  • Improve leadership or board meetings

  • Encourage balanced participation and manage strong voices

// How I work

  • Plan

I bring clarity. I sharpen fuzzy ideas and turn them into clear objectives.

  • Design

I banish rambling updates and build in ways to energise, inspire and engage.

  • Facilitate

I lead the meeting, ensuring we stay focussed and productive and ending with clear outcomes.

  • Follow-up

I summarise the outputs and commitments made, and ensure your next steps actually happen.

// What you’ll get

  • Meetings that stay on time and on track
  • Clear outcomes and confident decisions
  • Constructive discussion instead of endless debate
  • Calm, neutral facilitation from an experienced professional
  • Trusted by Civitates, Limelight Foundation and Global Greengrants Fund
  • Board & Leadership Strategy Sessions

Smaller, more formal gatherings (5–12 people) where decisions matter. I structure the time, balance voices, and keep us moving so we leave with clear choices, owners, and dates.

  • Decision Meetings

When something’s stuck, going in circles, or involves many voices, I frame the issue, surface options, and guide the group towards ares of consensus—capturing a short decision log and next steps.

  • Project Planning Meetings

When you need to turn ideas into action: define goals, map tasks, and create an implementable timeline so the team leaves ready to move forward.

// About me

I’m Caroline Jessop, founder of Clear Meetings and an IAF Certified Professional Facilitator. In plain English, I help save people from dreadful meetings.

I started Clear Meetings after one too many “meetings that could’ve been an email.” Now I design and facilitate sessions that turn conversation into decisions.

I bring structure, calm and neutrality – the ingredients that make complex discussions productive. My aim is simple: help people leave with clarity, confidence and alignment.

// FAQs

What kinds of meetings do you facilitate, and who are they for?

I work with organisations that care deeply about making the most of their people’s time and want to create real change with clear outputs. My clients range widely—from pharmaceutical companies to nuns, charities to government, universities to start-ups—and as a professional meeting facilitator, I ensure every session is engaging, energising, and impactful.

How do you tailor a meeting to our goals?

I listen carefully to your context, desired outcomes, and the change you want to see. Drawing on my creativity and experience across sectors, I help to join the dots and facilitate a meeting that’s engaging while delivering practical, measurable results.

What happens before the day?

I meet with you to explore the challenge and clarify goals, then draft a plan that we refine together over several planning meetings. I prepare all materials for the event and can provide participant briefings or pre-work where needed.

How do you ensure decisions stick afterwards?

Having the right people in the room and running an engaging process creates buy-in, which ensures decisions stick afterwards. Actions and next steps are captured clearly and delivered to you within 1 to 2 days. I follow up after three months to maintain momentum.

What’s the ideal group size for a meeting?

Interactive meetings typically have around 4-15 people, although all staff events can often include hundreds of people (650 is my largest to date). I am comfortable with any size group  -the key focus should always be having the right people in the room to achieve the outcome you are seeking.

What do we leave with?

To finalise the meeting facilitation process, I summarise the event and decisions made so everyone leaves with a clear sense of what needs to happen next. In addition to this clarity, participants leave energised, feeling their time has been well spent, and they are glad they attended.

Cancellation/reschedule policy

I understand that different organisations operate on very different timescales, from weeks to months or even years in advance, and that plans can change at short notice. I work in partnership with my clients, offering flexibility and trust to help ensure we work in a way that is equitable for everyone.
